Position Summary: The Transaction Coordinator is responsible for managing and overseeing the administrative tasks involved in real estate or mortgage transactions. This includes coordinating communication between all parties involved, ensuring all necessary documentation is complete, and monitoring the transaction timeline to ensure deadlines are met. The ideal candidate is proactive, has excellent organizational skills, and can thrive in a fast-paced environment.

Key Responsibilities:

  • Manage all aspects of real estate or mortgage transactions from contract to close, ensuring a smooth and timely process.
  • Serve as the primary point of contact for clients, real estate agents, lenders, title companies, and other stakeholders.
  • Gather, review, and organize all necessary documentation, including contracts, disclosures, and closing statements.
  • Monitor transaction timelines and coordinate with all parties to ensure that deadlines are met.
  • Communicate with clients regularly to provide updates and address any concerns or questions throughout the transaction process.
  • Ensure that all documents are properly completed and compliant with legal and regulatory requirements.
  • Schedule and confirm appointments for inspections, appraisals, and closings.
  • Prepare and distribute closing documents and ensure all parties have signed off before closing.
  • Maintain accurate and organized transaction files and records in the company’s database.
  • Assist in resolving any issues or challenges that arise during the transaction process.

Qualifications:

  • High school diploma or equivalent; additional education in real estate, finance, or a related field is preferred.
  • Previous experience in a real estate, mortgage, or related administrative role is strongly preferred.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and real estate/mortgage transaction management software.
  • Strong organizational skills with a keen attention to detail.
  • Excellent communication and customer service skills.
  • Ability to manage multiple transactions simultaneously and work under tight deadlines.
  • Knowledge of real estate or mortgage transaction processes and legal requirements.
  • Ability to work independently and as part of a team in a fast-paced environment.
