We are in search of an Executive Assistant to join our team in the thriving city of San Francisco, California. As an Executive Assistant, you will be integral to the smooth functioning of our operations, performing a range of tasks from managing the CEO’s calendar to coordinating events and travel arrangements. This role offers a contract to hire employment opportunity in a hybrid work environment, blending both remote and on-site work, providing a versatile and flexible work experience.

Responsibilities include:

• Managing the CEO's calendar and scheduling appointments

• Coordinating travel arrangements for the CEO, ensuring all aspects are well-planned

• Serving as the point of contact for the CEO, managing calls and inquiries

• Collaborating with the CEO and Chief of Staff to plan and coordinate events

• Preparing weekly reports and other necessary documentation

• Utilizing MS Office suite for various administrative tasks

• Handling confidential information with discretion

• Assisting in the management of customer accounts and taking appropriate actions

• Processing customer credit applications accurately and efficiently

• Maintaining accurate customer credit records.

• Proven experience as an Executive Assistant or similar role

• Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)

• Experience with office management software like MS Office

• Outstanding organizational and time management skills

• Excellent verbal and written communications skills

• Discretion and confidentiality

• High School degree; additional qualification as personal assistant would be considered an advantage

• Ability to multitask and prioritize daily workload

• Excellent knowledge of office management systems and procedures

• Familiarity with online calendars and cloud systems

• Experience using office equipment, including printers and fax machines

• Strong communication skills (via phone, email and in-person)

• Experience exercising discretion and confidentiality with sensitive company information

• An ability to work under pressure and to meet deadlines

• Solid experience with office management systems, ERPs and MS Office

• Familiarity with online calendars and cloud systems

• Experience using office equipment, including printers and fax machines

• Strong communication skills (via phone, email and in-person)

• Experience exercising discretion and confidentiality with sensitive company information

• Excellent organizational skills with an ability to think proactively and prioritize work

• High School degree; additional qualifications as Personal Assistant or Secretary are a plus

• Experience in managing multiple priorities, administrative coordination, and logistics

• Well-organized, detail-oriented, ability to multi-task with great follow-up skills

• Strong written and verbal communication skills

• Knowledge of operating standard office equipment

• Ability to work well in a fast-paced professional office environment

• Ability to create and maintain comprehensive and accurate files and reports

• Proficiency in collaboration and delegation of duties

• Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities

• Exceptional interpersonal skills
